How to Reconcile PayPal Payments as an Australian Reseller

PayPal holds fees, reverses transactions and pays out in batches. Here's how to reconcile it properly.

How PayPal Pays Out

PayPal's payout process for resellers involves several moving parts. When a buyer pays you through PayPal, the funds appear in your PayPal balance — not your bank account. PayPal deducts its processing fee immediately. You then either transfer funds to your bank manually or set up automatic transfers. This means your bank deposits don't match individual sales, making reconciliation more complex than direct platform payments.

PayPal can also hold funds on newer accounts or for high-value transactions. These holds mean money may appear in your PayPal account but not be available for transfer for days or weeks. From an accounting perspective, the income is earned when the sale is made, not when funds become available.

Gross Receipts vs Net PayPal Income

A critical distinction: your gross sales income includes the PayPal fee. If a buyer pays $50, your gross income is $50 — even though PayPal takes its fee and you only receive $48.35 in your PayPal balance. You declare $50 as income and claim the $1.65 PayPal fee as a deduction. Never declare just the net amount, as this understates both your income and your expenses.

Extracting PayPal Transaction Reports

PayPal provides downloadable activity reports that show every transaction: sales received, fees charged, refunds issued, transfers to bank, and currency conversions. The CSV download is the most useful format for importing into accounting software. Filter by date range and transaction type to isolate your sales-related transactions.

Matching PayPal to Platform Sales

If you receive PayPal payments from eBay or Depop sales, you need to match each PayPal receipt to the corresponding sale on the platform. The PayPal transaction will usually include a reference number or buyer name that you can cross-reference. This matching is essential for accurate per-item profitability tracking and for ensuring every sale is accounted for once (not duplicated across reports).
